Our client is currently recruiting for a Travel and Training Administrator for a maternity cover contract, based in Westhill Aberdeen.


The Travel/ Training Administrator is responsible for arranging all aspects of travel including flights, local transport (taxi/train/hire car) and accommodation arrangements. Management and hotel reservations and all administrative tasks involved in the successful delivery of all internal and external training courses.


Arrange booking of travel, accommodation & staff house arrangements within a timely manner, and will include participation in the on call rota to cover the emergency out of hours service. 
• Booking of offshore training requirements, ensure certificates are up to date, and assigned remedial actions are properly closed out within agreed deadline. 
• Tracking of invoices, verifying accuracy and coordinating payment of suppliers. 
• Ensure timely processing of recharges as required. 
• Awareness of visa requirements for travellers visiting the UK and those visiting other countries. 
• Coordination with Travel Department on all associated hotel, travel and dining requirements for students and instructors. 
• Coordination of course materials (books, CDs, binders, etc.,) which may also include generation of all necessary course material. 
• Tracking of invoices, verifying accuracy and coordinating payment of suppliers. 
• Ensure classroom set-up according to Instructor's request, liaising with Facilities team as required. 
• Welcoming students and instructors on first day of training and arrange necessary familiarization of the facility including HSE Induction and housekeeping • Assist with visa process for attendees as required. 
• Coordinate meal allowances as appropriate. 
• Arrange group lunch/dinner as appropriate. 
• Assist participants and instructor on any reasonable special request. 
• Appropriate identification and/or access to course venue. 
• Control attendance list with participants’ locations and managers. 
• Ensure all candidate meet mandatory criteria for course attendance. 
• Ensure QHSE procedures are followed. 
• Facilitates activities and orchestrates agenda and logistics. 
• Any other duties, consistent with the position as required or directed.
